As you drive-by you have to make an entrance, right? To get the party started. Well, there are some fun ways to make some noise. Or pop a confetti shooter as you drive by, use an air horn, or megaphone. On a hot day, you can spray the retiree wet with a water gun, or spray a bottle of champagne just for the sake of it.

So, a good retirement invitation sets the tone for the party. It’s essential to pick the right tone for the invitation. You want people getting excited about the retirement party when they receive the invitation.
Also, when you pick a very formal tone on the retirement invitation, you’re probably not doing a good job for a more informal retirement party or retiree. You might wonder, how can I pick the right tone for a retirement invitation?
It’s actually quite simple. There are basically three elements that decide if should go for a formal or informal tone on the invitation.
The first one is the company where the retiree works. Suppose this company has a very formal style, for example, a government-related office. In that case, you must go with a formal invitation. But when it’s the other way around, so this company has an informal style, you can be more creative and go for an informal invitation.
Make sure to check the guidelines of the company when it comes to sending out retirement invitations. Especially the more formal companies often have strict guidelines when it comes to sending out invitations.
When there aren’t any company rules you should follow, the company itself is somewhat in between formal and informal style. It’s important to look at the two other factors for deciding your retirement invitation tone; The retiree and the retirement party’s theme.
Suppose the retiree is a very funny person. Always in for a laugh, a good temper, you should go for a tone that matches the person. So, in this case, pick a funny informal tone. However, when this funny person works in a very formal environment, you should probably go for a more formal tone on the invitation.
The last element that can decide on which tone to choose for a retirement invitation is the retirement party itself. Most retirement parties have a specific party theme. This retirement party’s invitation is the one chance you have to set the tone and tell people what to expect for this retirement party.
So, let’s say the retirement party will be an informal party with a pirates theme. The invitation to this party must be informal, for example, with a message in a bottle or in the style of a treasure map.
When planning a retirement party and picking the right tone for a retirement invitation, the only limitations of creativity you can have are the company rules (if there are any) and your retirement party’s wishes.

Choosing the right invitation card for a retirement invitation also sets the tone for a retirement party. When you decide if you go formal or informal, you can decide which card you want to use for the invitation.

Dress code You must include a dress code when the retirement party is theme-based (I feel a bit like a pirate today, so let’s stick with the pirate theme, arrr!). Wouldn’t it be funny when everyone is dressing up like a pirate for your retirement party!?
Gift Guide: Inform people if you expect a gift Sometimes people find it challenging to include a gift guide to the retirement invitation. However, when you invite many people to the retirement party, it can help have a gift guide. You can avoid ending up with many different gifts. You can ask people for a financial contribution if you want to buy something for yourself in retirement. Or when you have specific plans in retirement, for example, traveling, you can ask them for a travel-related gift.
RSVP RSV…what? This abbreviation is originally French and stands for “répondez s’il vous plaît.” Which means, please respond.
When sending out invitations, you want to know if people received them and if they’re planning to come to your party. By adding an RSVP, you ask people to respond to the invitation. This way, you know upfront how many people to expect, which is helpful with planning your retirement party.

I think that’s a funny invitation, and why not doing something like that on your retirement invitation? All the work is done, so it’s time to have some fun!

As you can see, it is a long checklist. Planning a Retirement Party takes some time. It is important to start early so that you’ve enough time to arrange everything, with the right preparation and the use of a complete checklist, it gets a lot easier.

1 – 2 months In Advance Of The Retirement Party
Yes! Your retirement date and the party is getting closer each day. And when you’re getting around 2 months before the actual date of your retirement party, it is time to start with the most important preparations.
Set A Budget For The Party
The cost of a retirement party depends on many factors. To make sure the retirement party doesn’t become too expensive and suck up all your (retirement) savings, it is essential to set a budget.
A retirement party can be as expensive as you want. The average costs vary between $5 and $140 per person. Factors that influence the budget are the amount of people on your guest list, venue, decorations, food & drinks, entertainment, and other things you might arrange for the party.
When you’re organizing the retirement party for the retiree, this phase is one of the most important. You must know the budget you can work with, so make sure to talk this through with the (upcoming) retiree, your company or figure out what you want to spend personally on this party.
Retirement is a life celebration and creating a guest list can be difficult. In general, because it’s a life celebration the guest list is usually a combination of close coworkers, family and friends of the retiree. But it all depends what kind of retirement party you’re planning: at work or at home? In private or corporate?
When you’re the retiree, I recommend you to first make a list of everyone you can think of that you want to invite for your retirement party. This way, you’ll make sure that you won’t forget about anyone important to you. You can invite everyone you want, so make a list of your (recent) coworkers, friends, and family. However, when you’ve made sure to set the right budget, it is easier to set a maximum on the people you can invite.
When you’re hosting the retirement party for the retiree you want to make sure you don’t forget anyone. And that’s why it can be helpful to ask the retiree or a close family member to check the guest list. Budget? Check! Guest List? Check! But there are a few other essential things you need to arrange. How about picking a date and time for your retirement party. Perhaps one of the most important steps in the preparation process.
It is important to make sure that the date for your retirement party is close to the actual retirement date. The further away you’ll plan from the actual retirement date, the less likely people are fully engaged with the party. It is also much more fun for the retiree to plan the retirement party close to the actual retirement date.
The location of your retirement party is an important factor that helps make your retirement party a memorable and unique party.
Choosing a venue or location for your retirement party is #4 on this retirement party checklist on purpose. Knowing your budget, your guest list, and retirement party date is essential for choosing the right venue for your retirement party.
You probably get the idea, when the cost for a specific location is outside your budget, you can look for something else. Or maybe it isn’t available at your specific date.
You must make a shortlist of several locations so that if one isn’t available, you can always switch to something else.
Next up on this retirement party checklist is choosing a theme for the party. And you know what? You can go all crazy if you want (if it fits your budget, though). You only throw this party once, so you better make sure it has a theme you really like!

When sending out the invitations, the invitation must contain all the information regarding the retirement party.
You can make the invitation in the style of the retirement party theme, but make sure that it contains at least information like;

Book Entertainment
When the budget allows it, you might want to have some entertainment during your retirement party. You can think of a music act as a live band or DJ. Or maybe you want to have a dance group. As long as it fits within your budget, you can book everything you want.
It is important to book the entertainment act(s) a few weeks or months in advance, so you’ll know for sure if they’re available.
Other entertainment ideas can be a renting a photo or video booth. Or organizing a fun workshop, wine tasting or a party game. The more guests are engaged, the better the party.
2 – 3 Weeks Before The Retirement Party
You’re getting closer to the actual retirement date, and your retirement party. You probably get more and more excited every day. When you’re planning your retirement party yourself, you’ve might have some busy weeks ahead.
If you have someone that organizes the retirement party for you, make sure to check-in on the status now and then. I would recommend planning like a meeting once a week, depending on the size of the party. So you can talk everything through, and the party planner can do the work without getting disturbed all the time.
There are a few essentials things that need to be arranged during these weeks;
Plan Party Food
By now, most people will have replied on the rsvp request, and when applicable, they also send dietary restrictions. With this information, it is easier to start planning for the party food.
When you have a caterer, it is important to send all the information that’s related to food to them. If you plan to make everything yourself, this is the time where you make your grocery lists and start preparing for shopping.
Book Rentals
You might need some extra chairs, tables, serving dishes, etc. If so, book them during this period at your local party rental. Google “Party Rentals near me” for companies that can rent you party essentials. Or buy necessary party essentials on Amazon.
Order A Retirement Cake
What is a good party without a cake? I think it is something similar everywhere in the world. When we have to celebrate something, there’s almost always a cake, or some pastries served. Without cake, it’s just a meeting 😉
The fun part is that you can go all the way with creating your own cake, and when you’re not into baking, it is easy to hire a caterer that makes a cake for you and saves a lot of time.

Of course, you already arranged everything to capture the retirement party. This can be a professional photographer, videographer, you next door neighbor or renting a photo or video booth. But another great way, next to the (professional) photographer, is to let the guests capture the party.
It is easy to give some disposable cameras or polaroid cameras to the guests when to arrive and let them take fun pictures during the party. These pictures will create unique party memories! And you can collect them in put them in a scrapbook to give as extra retirement gift later.
1 – 2 Weeks After The Retirement Party

1) (Ice) skating Ring
If you or the retiree loves to (ice) skate, you can host a retirement party in a skating rink. Perhaps there is a skating rink nearby, and they can offer nice deals, including some drinks and snacks before or afterward.
Or a disco skating rink is also a fun venue to host a retirement party. You can choose a disco or a similar theme for the party and let guests dress up in costumes as well.
Make sure there is an area close to the rink where everyone who doesn’t want or can skate also enjoy the party.
2) Beach
The beach is always a good idea. And when you know, it will be summer or nice weather around the party date. You can organize it on the beach. Perhaps there is a nice beach club you can book a private area for lunch, dinner, or drinks and snacks. Or you can gather around at the beach and ask everyone to bring their own food and drinks, organize this yourself or let a caterer drop stuff off.
At the beach, you can organize all sorts of fun games and activities. You can watch the sunset together and make a campfire where everyone can make s’ mores, etc. Being outside gives the retirement party a relaxing vibe.
3) Church recreation halls
When you are part of a church community, you can perhaps make use of the facilities of the church. Maybe they have a recreation hall you can use, or someone within the church community knows great venues or even own an awesome venue. It can be very useful to use your network of people when planning a retirement party.
A farm is also an awesome location for a retirement party. It sets a nice scene and makes it informal and fun for any age. And there are all sorts of farms out there that are specialized in hosting all sorts of parties. Just google “farm party venue near me,” and you’ll get a list of cool farms in the area. Some are fruit farms, ranches, or other cool venues for a rustic retirement party.
5) Ranch
Organize the retirement party at a (horseback riding) ranch. If you live in the area with ranches all around then, it’s easy to find one. But sometimes it can also be a lot of fun to invite your guests to stay a night so you can travel a bit further to a perfect ranch to host your retirement party.
Ranches have become extremely popular for hosting events. So a lot of ranches are excellent in hosting awesome parties.
6) Museum
A museum is a cool and unusual place to host a party. Choosing a museum as the venue for a retirement party makes it very memorable for the retiree and guests. Especially if the retiree loves to go to museums, then having his or her retirement party at a museum makes it that much more personal.
Not every museum is available for hosting a party, but it is definitely worth it to call around and ask what the possibilities are.
7) Aquarium
When the theme of the party has something to do with oceans, fish or anything else beneath the water surface, then hosting the retirement party at an aquarium makes it very unique.
