    When you’re planning a retirement party, you should definitely think about the costs before you set things in motion. And you might wonder: How Much Does A Retirement Party Costs?

    The costs for a retirement party can range between $5 – $140 per person. It depends on different factors: venue, food, drinks, guest list, entertainment, decorations, rentals, hired staff, gifts, etc. A picnic in the parc can costs as low as $5 per person, but the costs for a catered retirement party at a venue with entertainment are much higher.

    The range of costs from anything between $5-$140 per person for a retirement party is, of course, very wide. You have to get creative to organize a retirement party for a budget of $5 per person, but it is possible. Either the boss is retiring, or they use a retirement party also for a business event. 

    Most people will organize a retirement party for the costs of anywhere between $20 – $80 per person, depending on what their wishes are. As I mentioned above, a lot of factors influence the costs of a party. And you have to balance these factors out and make compromises to ultimately organize the perfect retirement party and to stay within your budget. 

    To help you out, I’ve listed the most important factors that affect the costs of a retirement party. And by reading through these cost items, you’ll get a better sense of how much your retirement party will cost. Because the most important thing about planning a retirement party is to determine your party budget first. Then decisions will become much easier for the rest of the planning.  

    Guest List

    First, you want to finalize your guest list. You have to know how many people you want to invite to the retirement party, to see how much it will cost you. Because the amount of people you invite affects the costs of a retirement party immediately.

    Also, your guest list will determine where you can organize the retirement party. Have you set your mind to a certain venue? And do you know the capacity of the venue? 

    Maybe the capacity is limited, so you can’t invite everyone you want. Or you find out that the amount of guests exceeds your retirement party budget. These are all factors you need to consider before finalizing your guest list. And therefore, you need to make compromises and set priorities.

    Venue

    When you determined your guest list, you probably also have an idea where you want to host the retirement party. At home, at work, at a catered venue, restaurant, campsite, park, vineyard? These places are all possible places to organize a retirement party. And the choice of venue will affect the cost as well. 

    If you need to stay within a certain budget, its best to organize the retirement party at home, at work, or in a park, then you don’t have to pay for rent. And it will be much cheaper to organize a retirement party compared to hosting it at a restaurant or catered venue. But as I mentioned before, this all depends on your wishes.

    The best way to budget your retirement party is to ask the venue for a package deal, so you know exactly what it will cost you per person.

    Date and time

    The timing of the retirement party is also a factor that can either be in your advantage or disadvantage. When you book a venue at their busiest time in the week, it will be a lot more expensive then if you book the venue during slow hours. 

    Before you send out an invitation, it’s wise to think about who you want to invite and when you want to plan the retirement party. A venue will be much cheaper during the week, but that isn’t always suitable for your guest list with people that need to work during the week. 

    A guest list with only retirees will make things a lot easier. You can plan it on any day of the week, and therefore you can often get amazing deals at a much lower price. 

    So before you plan the time and date, see who you invite, where you want to plan the retirement party, and figure out which of these factors are more leading then the others.

    Food & Drinks

    Let’s continue with food and drinks. The time of the day also determines what kind of food and drinks you normally serve around that time. And the amount of food and drinks and what you serve will influence your retirement party costs as well. 

    There are a couple of options you can consider:

    • Bring your own party
    • Make your own food and drinks
    • Hiring a caterer to drop off
    • Host party at a catered party venue
    • Host party at a restaurant or other desired venue

    Making your own food and drinks is the cheapest option when you like to be in charge. The average cost of a caterer is between $15 and $80 per guest, depending on what you order, and it can vary greatly by region. 

    And when you organize a retirement party at a catered venue or restaurant, you can negotiate about the price per guest. And this can vary greatly about what you order and which venue you choose. It usually ends up being a better price per person to take the flat rate (package deal) offered by caterers or restaurants. Rather than choose from the ร  la carte offerings. And it also makes your party budget more transparent. 

    Tight Budget

    If you have a tight budget for the retirement party, you can consider only ordering or baking a retirement cake and serving tea and coffee. And that’s it. You probably plan your retirement party between breakfast and lunch or between lunch and dinner. The slice of cake will cost you around $2 – $4 plus costs for coffee and tea. If it’s at the office, tea and coffee are normally free of charge. And if you bake the cake yourself, you can make it as extravagant or low costs as possible. 

    Or if you would like to do something more than that, but still want to keep things simple and low costs. Then you can consider doing only drinks plus some snacks or hors d’oeuvre. You can make them yourself, which is a cheaper option or hire a catering company to drop-off hors d’oeuvre that can cost around $2.50โ€“$7.95 pp/ per hors d’oeuvre. 

    Another cool way is to keep costs low is to hire a food truck that will serve food at your retirement party. But cities can charge you with an operation fee, so don’t assume that your only cost is the food. 

    Also, a lot of people like to organize Bring Your Own parties, where everyone brings their own food and drinks. This will keep your costs of food and drinks low, which will leave room for other variables like decorations, retirement gifts, etc. 

    More Budget

    When you have more budget, you can consider organizing a lunch, wine tasting, having a buffet, food stations, or a (small) dinner at the retirement party. The costs all depend on where you celebrate the retirement party and what your wishes are. You can keep the costs lower when you organize these things yourself. 

    Having a lot of alcoholic drinks will pump up the costs for your retirement party as well. And the costs for this also depends on where you plan the retirement party at a venue or home. And before you decide the timing of the retirement party, you need to know that organizing a dinner party is often more expensive than organizing a lunch party. This can maybe also influence your decision about as well.

    Invitations

    When you know the time, date, place, and guest list, you can send out the invitations. And you can do this very low cost through email, texting, or calling up everyone. Or a bit more expensive through a paper invitation. It depends on the type of party which way you choose. 

    An email invitation for an informal retirement party is very suitable. And perhaps a paper invitation is more suitable for a corporate, formal dinner retirement party or a more traditional retiree. But if the company or retiree values being sustainable, it’s can be best to send an email invitation.

    Entertainment

    Sometimes one of the highest costs for a party can be entertainment. Booking a band is so much fun, but it can also be very expensive. In that case, a DJ is often less expensive, but the lowest cost is creating your own music playlist. 

    Besides organizing music, you can consider booking a photographer or videographer to document the retirement party. Or you can book a video or photobooth, have fireworks, have a magician or other artists perform at the party. 

    Entertainment will increase your costs and is not always necessary. But sometimes, having a video booth will make the retirement party extra special and more memorable for guests. And because you want the retiree and guests to remember this party for a long time, you likely want to book some sort of entertainment. 

    To keep costs low, you can consider handing out disposable cameras, doing a fun game, host a quiz, plan a roast, or plan an activity to entertain guests.

    Decorations

    A party without decorations isn’t really a party. So within your budget, you want to leave room for decoration costs. You can, of course, outsource this, but that is also more expensive. On a tight budget, you probably have to get creative and do the decorations yourself.

    Rentals

    When you’re planning a retirement party, it usually occurs that you need to rent something. It can be very small from utensils, plates, linens, and cups to bigger rentals such as chairs, tables, DJ booth, sound equipment, etc. Make sure you budget rentals into your party budget because often, people tend to overlook this. 

    It’s everything you need, but you don’t have at home, office, venue, etc. Often you can borrow a lot of things from friends, family or neighbors. This will lower the costs of rentals. 

    Retirement Gift

    When you’re organizing a retirement party, you need to budget a retirement gift. You can consider collecting money to give a shared and bigger gift together with all the guests. Or let guests bring their own retirement gift for the guest of honor. 

    The best gift for retirement is a gift that matches the retiree’s personality, hobby, or plans for retirement. A gift that helps them enjoy retirement better or a gift to keep as a memory. And here some examples of great retirement gifts:

    When you like to organize a retirement party, but you don’t want all the hassle at home. You can organize a retirement party at a party venue near you. It can be more expensive then celebrating a retirement party at home, but if you can afford it. Why not? Right. 

    Retirement is the time to do all the things you want, whenever you want and however you want. And hosting a party at a venue is a lot more convenient, so if that’s something you’re interested in, go for it. 

    You can organize a retirement celebration during the day, in the evening, or until late at night. It depends on which kind of venue you like to organize your retirement celebration. You can rent out a venue for a couple of hours or reserve a part of a venue. For example, a nightclub can be an excellent location for a dance retirement party. You can plan it in the early evening hours or during the week when they aren’t open to the public.

    4) At A Restaurant

    When you have a favorite restaurant, you can consider organizing a retirement celebration there. It can be for breakfast, lunch, or dinner just with your spouse, friends, and family or your entire work department. Perhaps, a co-worker already suggested the idea of going to dinner with all the co-workers to celebrate your retirement. This way, their retirement gift to you is paying for their own meal and drinks while having a lovely evening together. 

    Or you can suggest this idea to co-workers if they ask you what you would like to have as a retirement gift or do for your retirement. Creating great memories together is often a better gift than anything material. At least that is my opinion.

    Having a nice dinner with your spouse or closest loved-ones can also be a great way to end your retirement celebration week. And it creates a special moment for the people that you are closest to you to celebrate your retirement in a private and personal way.

Instead of having a couple of hours to celebrate your retirement, you have days or even weeks to celebrate your retirement. You can plan a second honeymoon with your spouse, plan a friend’s weekend trip, or go on a trip with your grandchildren to celebrate your retirement. This way, you can celebrate your retirement anywhere in the world.

    To live a happy and healthy retired life, you need to take a good amount of time to figure out what you want in retirement. A couple of days or weeks before or at the maximum two weeks afterward is great to keep the “retirement” momentum. The further away from the date, the less likely people are fully engaged and will attend the celebration. And then choose a great time to show it to him or her, like at their retirement party, their last day or meeting. Whatever feels appropriate. And make sure to make as many co-workers enthusiastic about participating in the video.     Tips for a good retirement roast

    • Ask a maximum of 4-5 people to roast. Preferably a variety of people, so jokes come from different areas. 
    • Create a nice roast decor, and place the retiree in the center of it. So everyone can see him or her.
    • If possible, plan the order of speakers from funny to the funniest. Preferably, you to save the best for last.
    • Maximum of 5 minutes of speaking time per roast to keep things short and interesting for the audience.
    • If necessary, discuss the no-go areas beforehand. A bit embarrassing is part of a roast, but making someone very uncomfortable should not be the goal. 
    • Let the retiree have the last word. He or she can take this moment to hold a (quick) speech or end with a (prepared) roast as well.

    8) Do A Flashmob

    Surprising the retiree with a flash mob at work is a fun way to celebrate their retirement and also put them in the spotlight for a moment. You can choose the retiree’s favorite song and create a dance routine, but that can be a lot of work.

    The easiest way to organize a flashmob is to choose a nice song where someone else on Youtube already made a choreography for a flashmob. Because there are so many Youtube Flashmob Choreography tutorials out there, so why not use them. Then you only have to send an email with the video link and a couple of instructions to your co-worker, and it’s organized.

    You can choose the moment for the flashmob at the start of their last day at work, at the end of their last workday, or it’s even possible during their retirement party.

    9) Hold A Meeting

    To commemorate the retiree, you can hold a special meeting at work. This is a great idea when nothing else is planned, and you still want to celebrate it without making a big deal out of it. You can honor the retiree at one of their last meetings or organize a special meeting just to celebrate this achievement in their life.

    During the meeting, you can thank them for their years of hard work with a toast, speech, or presentation. And you can even give them a special award or a nice retirement gift. 

    10) Give An Award

    You can give the retiree an (official) award as a thank you and retirement gift to keep as a memory. Someone who is retiring will appreciate a gesture that acknowledges their hard work and dedication over the years. Letting a retiree know that their work and contributions didn’t go unnoticed is some of the best things you can do to celebrate their retirement at work. You can give an official award as a company, or a special award from co-workers.

    It’s also a funny idea to make up an entirely new award, for example:

    11) Give A Career’s Highlights Presentation 

    Another way to celebrate retirement at work is to give a presentation of the retiree’s career highlights. With a presentation, you sum up all highlights, anecdotes, and great moments in the retiree’s career. And show how much the retiree is appreciated within the company. It can be a very formal presentation that you can present at one of the last meetings. Or you can do it less formally and include a couple of jokes while you do the presentation at a retirement party or last day at the office.

    12) Have 1-minute Toast

    To celebrate the retiree’s retirement, you can have 1-minute toasts, where co-workers can share their favorite stories, and anecdotes, and give the retiree well wishes for the future. You can organize this during a moment at the office retirement party, while cutting the retirement cake or when you pop-up a bottle of champagne on their last day at work. 

    It can be a very informal way for everyone to say goodbye and show their appreciation to the retiree. He or she will appreciate this gesture very much and feel loved once they live their work for retirement.

    13) Create A Scrapbook/ Photo Collage

    One of the most thoughtful gifts you can give for retirement is a gift down memory lane. So a great way to celebrate retirement is by giving a scrap or photo book they can keep as a memory and can look into every time they want in retirement. Years of work also means years of great memories that can be bundled into a book to cherish forever.

    You can ask co-workers to send in their favorite photos with the retiree over the years and create a great photo collage on canvas to give the retiree. 

    Or get more creative and ask besides to send in photos also to also write something down: favorite memory, funny anecdote, well wishes, or a personal message. You can collect al these memories from co-workers and create a nice scrapbook to give the retiree. 

    14) Host A Quiz

    You can host a (funny) quiz to celebrate retirement at work. It can be part of a retirement party but is also possible to organize on their last day at work. 

    You can create a quiz where the retiree has to answer questions about their life under the pressure of their co-workers watching. Or co-workers have to answer questions about the retiree and see who knows the retiree best. And you can use all sorts of props and decorations to make it fun. And ask the funniest co-worker at work to be the quizmaster.

    The questions can be work-related, personal, their plans for retirement or quiz questions about their job, achievements, co-workers, friends, and family. Retirement is a celebration of life so you can incorporate all sorts of questions about the retiree’s life.     Retirement is the last chance to prank the retiree at work, so perhaps you might want to take advantage of this occasion and organize one big last office prank. For a good prank, you have to know their “weaknesses” so you can tap into them for a great prank. Also, make sure the retiree can appreciate a good prank. 

    16) Sing A Song

    Celebrate the new retiree with a customized song with special lyrics. Choose the retiree’s favorite song and adjust the lyrics or choose a popular celebration song where you can personalize the lyrics to. 

    You print out the song lyrics and hand them around at work so everyone can sing along. And the best time for a song can be any time of day. For example, at the retirement party, start or end of their last day or any other moment where you want to celebrate the retiree’s upcoming retirement at work.

    17) Write A Retirement card

    Sometimes giving a retirement card with well-wishes for the future is more than sufficient to celebrate someone’s retirement at work. This mostly happens when you don’t know the retiree well and/ or is from another department or work location. 

    A written retirement card can also be more than sufficient when you attend a retirement party where it’s mentioned not to bring any gifts. However, you still want to do something about their retirement celebration, and writing a retirement card is an excellent way to acknowledge this milestone in their life. 

    A retirement card can be attached to a retirement gift or can be sent or given on its own. You can choose to write a personal retirement card or write a big retirement card together with other co-workers.

    Also, the retiree doesn’t feel retired when the party is too soon, or he or she is already used to that retired feeling if the party is months after he or she is actually retired. You want to celebrate it when you feel it the most. That way, the party will be more of a success because the retiree and the guests are fully engaged to party.

    Which Day Is Best To Throw A Retirement Party?

    The guest list and the location of the party determine which day is best to throw the retirement party. So before you pick a date here’s what you need to ask yourself:

    • Who are you going to invite to the retirement party?
    • Where do you want to throw the retirement party?
    • What kind of retirement party are you organizing?

    Your guest list can determine which day is best to throw a retirement party. Usually, the weekends are the best because then most people don’t have to work and can attend the party. But it also depends, what type of retirement party are you planning? Is it an office party? Dinner party with friends?

    For example, an office retirement party with only co-workers it’s best to plan it during the week. Preferably at the end of the day, so people don’t have to go back to work afterward.

    Also, a retirement party with only retirees attending, then it doesn’t really matter which day of the week you plan the retirement party. The weekend will add that extra party feeling, but a retirement party lunch on a Monday can be just as fun as on a Saturday. Keep that in mind. 

    Check Venue Availability

    When you plan a retirement party at a venue, then the availability of the venue will also determine the date of the retirement party. Perhaps you would like to throw the retirement party on a Friday or Saturday, but the venue is only available on Wednesdays or Thursdays.     As I mentioned before, the guest list will determine a big part of when to throw a retirement party. So who should you invite to the retirement party?

    In general, retirement is a life celebration. Therefore you want to invite the most important people in the retiree’s life. So he or she can celebrate this life achievement with everyone involved. 

    But maybe you’re planning a retirement party for your retiring employee at the office with only co-workers. Or you want to throw a family brunch with to celebrate retirement. So here’s a short answer:

    You base the guest list on the type of retirement party you’re planning: 

    • Corporate retirement party: invite all co-workers. A small company invites all co-workers from the office. A larger company only invites direct co-workers. Or you can decide to invite partners as well to make it a bigger celebration
    • Private retirement party: depending on the size and budget, you invite all the important people in the retiree’s life (that’s a combination of family, friends, and close co-workers). 

    Make sure when you’re planning a retirement party for someone else, that you discuss the guest list with the retiree or a close family member of the retiree (when it’s a surprise). The retiree or close friend/ family member can inform you who to invite, so you don’t forget about someone. You want to avoid forgetting an important person in the retiree’s life.

    When To Send Out Retirement Invitations

    When you’ve decided on the perfect date for the retirement party, it’s time to let guests know when the party is so they can save the date.

    Preferably you want to send our retirement party invitations, 4-6 weeks before the retirement party date. That should be enough time for guests to be available and attend. 

    When you know people’s agendas are very busy, you can consider sending out invitations earlier than six weeks before the party. Especially when you’ve booked a nice venue, organized something big, and want as many people to attend the retirement party to make it a big success.  

    A small retirement party at home with only a couple of guests invited, then sending out invitations two to three weeks before should be more than sufficient. 

    Once you’ve picked a date, you can always consider sending out a save the date as early as possible, because the sooner, the better. And after that, you can send an actual retirement invitation closer to the retirement party date. This way, guests have already marked the date on their agenda. And they’re being reminded again when the real invitation comes in. 

    Tips for sending out invitations

    • Ask for RSVP 
    • Mention the dress code (if necessary) in the invitation. 
    • The invitation should specify if the invitation includes a plus one.
    • Share a bit of personal information of the retiree (f.e. the number of years that the retiree has worked, plans for retirement.) This helps your guests to write a more personal retirement card for the honoree.
    • If there are specific arrangements included or excluded, mention this in the invitation. You want your guests to be properly informed. 
    • Mention a gift suggestion in the invitation. People find it hard to find the best retirement gift, and with a little bit more information, they can choose a better gift. Also mention in the invitation when you don’t want guests to bring gifts.
